Reports to: Director, Health Innovation Programs and Director, Organizational Planning and Delivery 

Salary Range: $49,233 – $ 61,541 – $73,849 (Typical hiring range: $52,000- $60,000)

Working closely with valued partners and interest holders, the Health Innovation Programs team designs, delivers, and evaluates a suite of activities, including collaboratives and large-scale programs, that support the identification, spread and scale of innovative models of care to improve the quality and safety within and across health systems, as well as dissemination of key learnings from these activities. Our current activities include Sparking Change in the Appropriate Use of Antipsychotics and Paramedics and Social Prescribing – both part of Care Forward, as well as scoping, identification and design of new programming and special projects that improve healthcare, with, and for – everyone in Canada. 

HEC’s Organizational Planning and Delivery team supports HEC to be a high performing organization that effectively delivers on its strategy, operational plan, and related activities. The Planning and Delivery team is accountable for:    

  • Operational planning and delivery management (annual planning process and cycle; supporting enterprise-wide project alignment and interdependency planning; identifying, and managing project risk; tracking delivery progress)     
  • Integrated HEC processes and enterprise-wide project management support & capacity building    
  • Enterprise risk management    
  • Collecting data on operational plan progress to support decision-making processes and organizational performance, and regularly reporting progress in these areas.   

The Program Coordinator holds three main areas of responsibility: 

  1. Provides a high level of administrative support to the Director/Senior Program Leads as well as to their respective teams;  
  2. Manages and coordinates events and projects in the program area, including online programming and meetings that facilitate evidence-informed innovation in healthcare organizations and that link healthcare leaders who are central to HEC’s strategic priorities; and  
  3. Provides general program support and coordination to the team including preparation of briefing materials to support planning and program development.  

Your core responsibilities include: 

  • Maintains Director/Senior Improvement Lead meeting schedules, project deadlines, etc.  
  • Drafts, proofreads, and edits correspondence and other material for review/signature.  
  • Reconciles all travel authorization forms, expense claims and credit card payments regularly and keep a continuously updated expense report as required.  
  • Coordinates internal and external meetings, speaking engagements and conference attendance, and travel arrangements, prepare presentations and speeches and screen incoming calls, emails and correspondence and respond independently when possible.  
  • Manages, oversees, and communicates externally with vendors to coordinates events, such as online programming and meetings (includes organizing workshop planning and debrief meetings. 
  • Provides the administrative support for the online learning platform, including taking the lead on content posting, solving technical problems for participants, and informing and implementing design components of the online learning site. 

Education and experience you will need to have:

  • College diploma in office administration, business administration, or a related field, or equivalent education and/or work experience is required.  
  • Minimum of two (2) years progressive experience in a fast-paced environment is required, preferably in healthcare or a not-for-profit organization. 
  • Bilingual in French and English is preferred (English communication skills at Advanced “C” level required).   
  • Advanced computer software skills in Microsoft Office suite and virtual environment are required. 
  • Demonstrated ability working in health and healthcare, particularly quality improvement, or patient safety is preferred.
